Privacy Policy — FairInvoice

FairInvoice ("we", "us") is a Shopify application that creates and delivers PDF invoices
and credit notes for your store's orders. This policy explains what data the app processes,
why, and what happens when data is requested or deleted.
What we process, and why
When you install FairInvoice, we access the following through Shopify's API, strictly to
produce your documents:
- Order data (line items, prices, taxes, discounts, refunds, billing details) — to
generate accurate invoices and credit notes.
- Customer email address — used once per order, to send the invoice email. We do not
store customer email addresses in our database.
- VAT number (if the customer provided one) — printed on the invoice.
What we store
- Invoice and credit note records: order reference, document number, totals and
currency — the minimum needed to guarantee sequential, gapless numbering.
- Issued documents: the exact PDF bytes of each invoice and credit note, stored
immutably so that a document you issued never changes afterwards (accounting integrity).
- We do not store customer names, emails or addresses as database fields; personal
data appears only inside the issued PDF documents themselves.
Who else touches the data (processors)
- Shopify — the platform the data originates from.
- Resend — our email delivery provider (sends the invoice email with the PDF attached).
- Oracle Cloud Infrastructure — hosts the application and its database in US East (Ashburn).
We do not sell data, share it with advertisers, or use it for anything except producing
and delivering your documents.
GDPR requests
FairInvoice implements Shopify's mandatory privacy webhooks:
- Customer data request: we compile the documents we hold for that customer's orders
and send the list to you, the store owner, within 30 days.
- Customer data erasure: issued invoices and credit notes are business and tax records;
we retain them under legal-obligation grounds. We do, however, immediately revoke the
customer-facing download links for that customer's documents.
- Shop data erasure (after uninstall): all data belonging to your store — records,
archived PDFs and any remaining session data — is permanently deleted.
